JOB SUMMARY
The Assistant Facility Specialist supports in coordinating the daily operation of one or more of the city's recreation centers. The Assistant Facility Specialist is also responsible for assisting in directing the work of the center's variable staff, interns, volunteers, and community service workers, while ensuring safety, participation and customer service standards are upheld.
 

ESSENTIAL FUNCTIONS (Major tasks, Duties, and Responsibilities)
Responsible for the supervision and efficient operation of the recreation center during their shift
Assist and support the Facility Coordinator in ensuring that operational programs and customer service objectives are met
Direct variable staff in executing their responsibilities
Monitor and respond to situations that are unsafe and cause user discomfort
Monitor the center's registration and cash collection procedures
Monitor use of the center ensuring that user policies and procedures are upheld
Open and close center as required
Provide limited direction and instruction on appropriate patron use of fitness equipment and participation in the center's programs and activities
Performs building walkthroughs at assigned times throughout the day to ensure that the center is clean and safe
Set up and take down activity areas as needed
Must be able to interact with others in a positive manner
Requires regular and prompt attendance
Maintains a positive and professional demeanor during work hours
Guide front desk variable staff through Rectrac questions and concerns
Keep front desk cleaned and stocked daily.
Post current pool and gym schedules and work with program staff to ensure current schedules are available
Convey emailed information from programmers and other city staff on to variable staff; maintain up-to-date front desk notebook with hard copies of procedures
Spend the majority of your scheduled hours at the front desk

IMPORTANT JOB FUNCTIONS:
Assist in the orientation and training of center staff
Assist with short and long term planning related to recreation facilities
Attend staff meetings and training sessions
Maintain accurate records and initiates reports on center functions and issues
Provide support for staff that are housed within the facility as needed
Refer internal reservations to Facility Coordinator/Facility Specialist
Maintain a working knowledge of the centers' fitness and recreation equipment
Check cash reports in absence of Facility Coordinator and send to Finance
Order and stock copier/colored paper appropriately
Redo phone lists as needed
Redo pass lists as needed
Distribute birthday cards for staff signatures and distribution
Reconcile bank bags with cash reports
Insure employment files are stocked (e.g. apps and all other paperwork)
Update the facility handout as needed
Merge duplicate households during slow times; delegate merging to variable staff when appropriate
Assist Facility Specialist in managing monthly passes
In conjunction with aquatics staff, inventory, order and stock pro shop items
Schedule and direct community service workers
Assist in managing lost and found items
Monitor, order, receive and stock business cards, coffee supplies, , deposit slips, comment cards, and office supplies
Create and post signs about closures or other pertinent customer and employee information
Report to AED Authority monthly on status of AED
Maintain Silver Sneakers records as necessary
Complete monthly reports per Facility Coordinators request
Perform other duties as assigned
 
ORGANIZATIONAL RELATIONSHIPS
 
Supervision Received:
The Assistant Facility Specialist receives direct supervision from the Facility Coordinator
 
Supervision Provided:
The Assistant Facility Specialist provides direct supervision to variable part-time staff, interns, volunteers, and community service workers, and acts as the manager on duty during work hours

Must be able to obtain written information from memos, letters, reports and to enter data into Microsoft Office programs
Must be able to observe class participants, officials, instructors, coaches, and other employees
Must be able to obtain information from reports, enter data into computer, communicate via email and look at a computer screen for extended period of time
 
MENTAL REQUIREMENTS:
 
Mathematics
Must possess basic addition, subtraction, multiplication and division skills for program budgets
Must have a basic understanding of algebraic functions and basic book-keeping knowledge
Must have computation skills for calculating participation numbers, trends, data, etc.
Must have basic addition, subtraction, and multiplication skills for event planning

Must be able to understand and interpret policies, procedures, and regulations
Must be able to communicate clearly and professionally to supervisor, community members, and participants with both written and verbal forms of communication

Must be able to make decisions accurately in maintaining both the quality of programs and safety of the facility, while ensuring City policies and procedures are enforced

WORK ENVIRONMENT:
Work is primarily performed in an office environment at a recreation facility and involves frequent distractions, interruptions, and noisy settings
Work requires an adaptive and flexible schedule, including
Varying hours including days, evenings, weekends, and holidays
Involves participation in recreation programs and special events
Varying degrees of challenges relating to tight deadlines and dealing with a large number of participants with a variety of personalities in various recreation and leisure environments
