Job Title: Medical Secretary

Department/Supervisor: Office Manager

Scope: Responsible for the efficient coordination of all patient services provided and prescribed by Torrey Pines Orthopaedic Medical Group physicians.

Typical Physical Demands: Work may require sitting for long periods of time;

Also bending, stooping, and stretching for files and supplies. Occasionally lifting files or paper weighing up to 25 lbs. Requires manual dexterity sufficient to operate a keyboard, calculator, FAX, telephone, copier and such other office equipment as necessary. Vision must be correctable to 20/20 and hearing must be in the normal range for telephone contacts. It is necessary to view and type on a computer and to work in an environment which can be stressful.

Typical Working Conditions: Work is performed in an office/clinical area. Involves contact with patients. Work may be stressful at times. Interaction with others is constant and interruptive.

Summary of Learning or Educational Requirements:

Have an understanding of medical terminology; disease descriptions, abbreviations, symbols, terms or phrases necessary to successfully communicate with other health care professionals. Have understandings of workers compensation terminology: terms or phrases necessary to successfully communicate with professionals relating to issues of workers compensation. Have an understanding of the Medical Practice as a business and secretary role as an advocate for both the patient and the practice. Have an understanding of medical ethics; legal considerations which impact upon the scope of practice, respecting an established code of ethics and risk management. Computer literacy; keyboard operations, menu selection strategies, and logistics of program flow.

Duties to Include but Not Limited To:

1.
Scheduling of office and procedural appointments; familiarity with scheduling surgical procedures, surgical equipment and specialized technicians, and arrangement of ancillary services such as MRIs, CT scans, bone scans, Physical Therapy, Occupational Therapy, etc.

2.
Prepare and submit hospital based charges in a timely fashion.

3.
Maintain monthly log of these charges and properly fulfills role in “check and balance” procedure.

4.
Complete Disability Insurance forms and correspondence for insurance carriers and patients in a timely fashion.

5.
Triage and documentation of telephone contact regarding patient care.

6.
Research and respond to inquires regarding Work Comp status as requested by adjusters in a timely manner.

7.
Maintain professional relationships with Work Comp adjusters and/or Nurse Case Managers.

8.
Obtain authorizations and benefit verification for scheduled appointments, procedures or surgeries, and/or coordinate authorizations with the Referral Coordinator. Up-date referral tracking in the computer.

9.
Proficiency in coordinating all surgeries with physician’s schedules.

10.
Proficiency in scheduling doctor’s meetings.

11.
Proficiency with counseling patients for surgery pre-op orders.

12.
Notify Medical Records of charts needed from storage in a timely manner.

13.
Print charge tickets and inform Medical Records for add-on appointments.

14.
Assist in maintaining records, respecting confidentiality, established policy and Federal HIPAA guidelines.

15.
Understand and apply patient relations skills to maintain a high level of “customer care”.

16.
Follow protocol for Med/Legal services provided our physicians.

17.
Maintain personal file for your physician to include copies of Curriculum Vitae, licensure, DEA, etc. Provide updated licensure to the Credentialing specialist.

18.
Maintain a CME (Continuing Medical Education) file for your physician. Provide updated course information to the Credentialing specialist.

19.
Pursue appropriate continuing education.

20.
File hospital, lab, ancillary medical reports and transcription in patient medical record in a timely manner.

21.
Notify the doctor of abnormal lab results in a timely manner.

22.
Follow OSHA guidelines for proper div mechanics (ergonomics), fire and electrical safety.

23.
Attend A/R (Accounts Receivable) meeting with physician and Business Office staff to provide insight and perspective on individual patients.

24.
Must be able to travel between La Jolla and Carmel Valley office as needed.

25.
Cover front office, secretarial or other positions as needed.

26.
Attend and participate in other meetings as required.

27.
Function as a team member. Offer to help other team members when you are available.

28.
Other duties as requested by supervisor.

Qualifications:

1.
High School Diploma.

2.
Data entry skills.

3.
Two (2) years experience in medical setting.
